Operating standard

Control without the corporate sludge.

Owner

The person accountable for the outcome, not automatically the founder.

Response

Draft within two working days of identifying the need. Review within one working day. Urgent safety or security procedures are documented immediately after containment.

Metric

At least 90 percent of executions complete without verbal clarification or an unplanned escalation.

Why this exists

If nobody owns the process, the founder owns every emergency.

Purpose

Create short, owned, measurable procedures for recurring work without importing enterprise bureaucracy into a small team.

When it applies

Use this template whenever a task repeats, failure is costly, ownership is unclear, or a new team member would otherwise need verbal instructions.

Required inputs

Do not start blind.

A specific trigger or recurring task
The current person who knows the process
Required systems and source information
Known approval or risk constraints
Exact steps

Trigger to outcome. No meeting required.

  1. 01

Name the trigger and the result the SOP must produce.

  2. 02

Assign one accountable owner and list the roles that perform or approve work.

  3. 03

List only the inputs that must exist before work starts.

  4. 04

Write numbered actions using one clear verb per step.

  5. 05

Mark decision points, approval thresholds, and stop conditions inside the sequence.

  6. 06

Set a response time, escalation route, evidence to retain, and one success metric.

  7. 07

Give the draft to someone unfamiliar with the process and observe where they get stuck.

  8. 08

Publish the approved version, record the owner and review date, and retire the old version.

Decision and approval points

Authority must be explicit.

The accountable owner approves operational accuracy.
A founder approves only when the process changes legal, financial, security, or company-level authority.
Escalation path

Know when to stop.

If the process is blocked, unsafe, illegal, or repeatedly fails its metric, stop execution and escalate to the accountable functional leader or founder.

Records to keep

If it is not recorded, it did not happen.

Customize before use

Make the generic parts real.

✓Replace every generic role with a real role or named owner.
✓Link the exact tools, forms, and folders used by the team.
✓Set thresholds that match the startup's actual risk and cash position.
✓Delete steps that do not change execution or evidence.
✓Test the SOP with a person who did not write it.
Common startup mistakes

How teams break the process.

01

Documenting a vague policy instead of executable steps

02

Making the founder the owner of every routine process

03

Publishing the SOP without testing it with a new operator

Write it before the expert leaves

Make the process executable.

Download it, assign the real owners, set the thresholds, and test it with someone who did not write it.
