Operating standard

Control without the corporate sludge.

Owner

Operations coordinates; the person's manager owns handover and system owners revoke access.

Response

Immediate revocation for involuntary or security-sensitive departures. Planned departures completed by the end of the final working day. Final payment follows applicable law and contract.

Metric

100 percent of critical access revoked and company assets accounted for by the required deadline.

Why this exists

If nobody owns the process, the founder owns every emergency.

Purpose

Protect company systems and continuity while handling every employee or contractor departure consistently and respectfully.

When it applies

Use for resignations, contract completions, redundancies, terminations, extended access suspensions, and changes from employee to contractor or the reverse.

Required inputs

Do not start blind.

Confirmed final working date and departure type
Account and asset inventory
Handover plan
Final pay or invoice requirements
Communication and legal instructions
Exact steps

Trigger to outcome. No meeting required.

  1. 01

Confirm the departure decision, final date, legal requirements, and need for immediate access removal.

  2. 02

Create a departure checklist from the asset, system, customer, and responsibility inventory.

  3. 03

Assign owners for knowledge transfer, open work, customer communication, and company property.

  4. 04

Collect or transfer documents, code, credentials, decisions, and recurring responsibilities before departure.

  5. 05

Revoke access according to risk and timing defined in the access-management SOP.

  6. 06

Recover devices, keys, cards, and other company property and preserve required business data.

  7. 07

Complete final pay or invoice, benefits, confidentiality, and required notices.

  8. 08

Record completion, inform the necessary team, and review any access or knowledge gaps.

Decision and approval points

Authority must be explicit.

The founder or authorized manager approves involuntary termination.
Operations confirms legal and payment steps.
The system owner confirms access revocation.
Escalation path

Know when to stop.

Escalate threats, data removal, missing equipment, customer risk, or disputed obligations immediately to the founder and qualified legal adviser where required.

Records to keep

If it is not recorded, it did not happen.

Departure approval and final date
Handover checklist
Asset return
Access-revocation evidence
Final payment record
Exit notes and exceptions
Customize before use

Make the generic parts real.

✓Confirm local employment and contractor requirements.
✓List critical systems and assets.
✓Define immediate versus end-of-day revocation cases.
✓Set ownership for customer and work handover.
✓Link the retention and deletion policy.
Common startup mistakes

How teams break the process.

01

Treating every departure as a routine resignation

02

Removing access before preserving necessary company knowledge

03

Forgetting personal devices, shared secrets, and vendor portals

Write it before the expert leaves

Make the process executable.

Download it, assign the real owners, set the thresholds, and test it with someone who did not write it.
